Privacy Statement for Applicants of Eurol B.V.

We, Eurol B.V. (hereinafter: “Eurol”, “we” or “us”), process personal data of applicants in the context of recruitment and selection. We attach great importance to handling your personal data with due care and process it exclusively in accordance with the General Data Protection Regulation (hereinafter: “GDPR”).

This privacy statement applies to the processing of personal data of persons applying for a position at Eurol B.V. and supplements Eurol’s general privacy statement. In this privacy statement, we explain, among other things, which personal data we process, for which purposes, on which legal bases and which rights you have with regard to your personal data.

Which personal data do we process?

Personal data is any information relating to a natural person by which that person can be identified directly or indirectly. This may be, for example, through a name or email address, but also through a combination of data that can together be traced back to one person. In the context of an application, we may process the following personal data:

  • name and form of address;
  • email address;
  • address;
  • telephone number;
  • information about education, work experience and skills;
  • information stated in your CV and cover letter;
  • financial information (only insofar as this is necessary in the context of entering into and performing an employment agreement);
  • any references or other information that you provide voluntarily;
  • information recorded during job interviews.

We generally receive personal data directly from you and sometimes through referees or third parties involved.

In principle, Eurol does not process special categories of personal data as referred to in Article 9 of the GDPR (such as data concerning health, race, religion or political opinions) or personal data relating to criminal convictions and offences as referred to in Article 10 of the GDPR, unless this is required by law.

For what purposes do we use your personal data?

We process your personal data exclusively for the following purposes:

  • assessing your suitability for the position concerned;
  • maintaining contact regarding the application process;
  • potentially offering an employment agreement;
  • informing you, with your consent, about future vacancies that may be of interest to you.

We do not use your personal data for other purposes or for automated decision-making.

On which legal bases do we process your personal data?

We process your personal data on the basis of one or more of the following legal bases:

  • Consent: for example, if you voluntarily consent to us retaining and using your personal data to contact you about future vacancies. You are not obliged to provide this consent, and refusing or withdrawing it will have no adverse consequences for your current application;
  • Performance of a contract: we process your personal data because this is necessary to handle your application and to take steps aimed at entering into and performing an employment agreement;
  • Legal obligation: we sometimes process personal data to comply with legal obligations (such as statutory tax retention obligations);
  • Legitimate interest: we process personal data if this is necessary for the purposes of the legitimate interests pursued by Eurol or by a third party, such as organising the recruitment and selection process in a careful, efficient and verifiable manner. In doing so, Eurol balances your privacy interests and fundamental rights against its legitimate interests.

With whom do we share your personal data?

We ensure that personal data in our systems is accessible only to employees who need this data to perform their duties. Access is granted on the basis of roles and authorisations according to the need-to-know principle. This will include persons from HR and other persons involved in the application process.

Your personal data will not be disclosed to third parties unless this is required by law, you have explicitly consented to this or this is necessary for the performance of the application process or the agreement. In this context, we engage external service providers, including for IT services and the management of applications through an Applicant Tracking System (ATS). We enter into data processing agreements with these parties.

In principle, we process and retain personal data within the European Economic Area (EEA). If a transfer to countries outside the EEA is nevertheless necessary, this will take place only if appropriate GDPR safeguards apply, for example because the European Commission has adopted an adequacy decision for the country concerned or because we have put appropriate contractual safeguards in place.

How long do we retain your personal data?

We do not retain your application data for longer than is necessary for the purposes for which it was collected.

  • Unsuccessful applicants: if you are not hired or you withdraw from the procedure, your application data will be deleted no later than four (4) weeks after completion of the application procedure.
  • Future vacancies: if you have consented to us retaining your data for future vacancies, we will retain your data for a maximum of one (1) year after completion of the application procedure. After this period, your data will be deleted unless you provide consent again.
  • Successful applicants: if you enter into employment with Eurol B.V., your application data will become part of your personnel file. We retain this data until no later than two (2) years after termination of the employment relationship.

Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.

If we receive your data through our website, we use encryption technologies that are recognised as common standards within the IT sector. A secure connection is used on the pages where you provide personal data.

All systems in which personal data is processed are equipped with antivirus software and the latest security-related updates for the relevant software. Access to your data is restricted to employees involved in the recruitment and selection process.

Your rights

Under the GDPR, you have various rights with regard to your personal data, including:

  • right to information and access: you may request information about how we process your personal data and obtain access to that personal data;
  • right to rectification: you may request that your data be corrected or supplemented if it is inaccurate or incomplete;
  • right to erasure (right to be forgotten): you may request the deletion of your personal data;
  • right to data portability: you have the right to receive your data or have it transferred to an organisation designated by you, in a structured, commonly used and machine-readable format;
  • right to restriction: you may request that the processing of your personal data be restricted;
  • right to object: you may object to the processing of your data for direct marketing purposes or on grounds relating to your particular personal circumstances;
  • right to withdraw consent: if the processing is based on consent, you may withdraw it at any time.

If you wish to exercise any of these rights, you may contact us using the contact details below. In principle, you will receive a response within four weeks of receipt of your request. We will endeavour to comply with your request as fully as possible, but please note that statutory retention periods and other circumstances may mean that we are unable to comply with a request, either in whole or in part. To verify your identity, we may ask you to provide a copy of a valid identity document, on which you have obscured your passport photograph and citizen service number (BSN).

Complaints

If you believe that we process your personal data in a careless or unlawful manner, you may submit a complaint to the Dutch Data Protection Authority (www.autoriteitpersoonsgegevens.nl). Naturally, we hope that you will contact us first so that we can resolve the matter together.
